Correction Return - Excel Import Procedure

Correction Return → Excel Import Procedure (Steps to Avoid Errors)

When importing a correction return Excel file, errors may arise due to incorrect or missing data.
Follow these steps to correct and import the file accurately:

Step-by-Step Guide for Correcting and Importing the Excel File

Step 1: Import the Latest Consolidated File
  1. Begin by importing the most recent consolidated file. This serves as the base file for making all corrections.

Step 2: Export the New Excel Correction Template
  1. Export the new Excel correction template. This is where you will enter all necessary corrections for the transactions.

Step 3: Make the Required Corrections
  1. Deletion of Transactions: For transactions that need to be deleted
    1. Locate the "Mark Nil" column in the template.
    2. Mark the respective rows as "Yes".
    3. This ensures that these transactions are identified as deleted during the import process.

  1. Modifying Transactions: For transactions requiring modifications:
    1. Navigate to the "Modify Transactions" section in the template.
    2. Update the necessary details accurately.

  1. Adding New Transactions:
    1. Map Challans: Use challans already present in the consolidated file. Do not add new challans manually.
    2. Map Challans with Transactions: Use the dropdown options in the template to correctly link challans to their respective transactions.
    3. Enter Correct Details: Fill in all necessary fields accurately as per the template's columns. Ensure all mandatory fields are completed.
    4. Fill Starred Columns: Complete all starred (asterisk-marked) columns, as these are mandatory for processing.

  1. Avoid Modifying the Excel Structure:
    1. Do not hide, delete, or modify any columns in the template.
    2. Maintain the original structure of the Excel file to ensure a successful import process.
Step 4: Save and Re-import the Corrected File
  1. After completing all corrections: Save the updated Excel file and Re-import the file back into the correction return system for processing.

Important Notes:
  1. Double-Check Data: Verify all corrections before re-importing the file. Ensure that deletions, modifications, and additions are accurate.
  2. Challan Integrity: Only use challans already present in the consolidated file. Adding new challans manually is not allowed.
  3. Mapping Accuracy: Pay special attention to the mapping of challans with transactions to avoid discrepancies.
  4. Maintain Template Structure: Do not alter the template’s structure, as it could lead to errors during the import process.

By following these steps and guidelines, you can ensure a smooth and accurate correction and import process for your Excel file.
