The Multi-Client Sync feature in Spectrum-CLOUD TDS enables users to synchronize data for multiple clients in a single operation. This functionality helps streamline data management, minimize manual effort, and ensure that client information remains up to date across the application.
Procedure to Perform Multi-Client Synchronization
Step 1: Navigate to the Client Master Module
Launch Spectrum-CLOUD TDS and navigate to the Client Master module from the main menu.
Step 2: Initiate the Multi-Client Sync Process
Within the Client Master module, select the Multi-Client Sync option to begin the synchronization process.
Step 3: Access the Sync Bucket Window
Upon selecting the Multi-Client Sync option, the Sync Bucket window will be displayed. This interface allows users to manage client selection and configure synchronization preferences.
Step 4: Select Clients for Synchronization
Choose the clients whose data needs to be synchronized.
- Use the Select All option to include all available clients.
- Alternatively, select individual clients based on specific business requirements.
Step 5: Select the Data Modules to Synchronize
Choose the required modules and data categories that need to be synchronized for the selected clients:
- Return Summary
- Fetch Challans - IT Portal only
- TRACES Unconsumed Challans
- Notices & Orders - Sync Already Raised
- Outstanding Demand
- Verify LDC
The selected modules will be processed and updated during synchronization.
Step 6: Start the Synchronization Process
After confirming the client selection and synchronization modules, click Start Sync to initiate the synchronization process.
Step 7: Track Synchronization Progress
Allow the synchronization process to run without interruption. During this stage, the system will retrieve, validate, and update the selected client data from the respective sources.
Step 8: Confirm Successful Synchronization
Once the synchronization process is completed, review the status message or synchronization summary to verify that all selected data has been updated successfully.
Important Guidelines and Best Practices
- Ensure a Stable Internet Connection - A stable and reliable internet connection is essential for successful synchronization. Network interruptions may result in delays, incomplete updates, or synchronization failures.
- Avoid Interrupting the Process - Do not close the application, restart the system, or terminate the synchronization process while it is in progress, as this may lead to partial data updates or synchronization errors.
- Verify Synchronization Status - After completion, always review the synchronization status to ensure that the latest information has been successfully updated for all selected clients.
- Perform Synchronization Regularly - Periodic synchronization is recommended to maintain data accuracy, ensure consistency across records, and keep client information updated with the latest available data.
- Review Exception Reports - In the event of any synchronization failure or data mismatch, review the relevant logs, status messages, or exception reports and perform re-synchronization where necessary.
