ExpressITR || User Management Guide


User Management refers to the process of administering user accounts within a system, application, or organization. This includes creating, updating, and maintaining user profiles, roles, permissions, and access rights to ensure secure and efficient operation.

Key Components of User Management

1. User Creation
  1. Adding new users to the system or application.
  2. Assigning unique identifiers, such as usernames and passwords.
2. Role Assignment
  1. Assigning roles to users based on their responsibilities.
  2. Defining roles to align with client or organizational requirements.
3. Access Control
  1. Enforcing the principle of least privilege to ensure users have access only to resources required for their tasks.
4. User Updates and Deactivation
  1. Updating user details such as name, mobile number, and other personal information.
  2. Deactivating accounts when users no longer require access.

User Management Role in ExpressITR
The User Management feature in ExpressITR allows the OWNER to invite and manage users effectively.

Default Owner Role
When the software is purchased or subscribed to, the person providing their mobile number and email address is automatically assigned the OWNER role. Additional users can be added under the Owner account by following the steps below.

Steps to Add a Sub-User in ExpressITR

Step 1: Open the Application
  1. Launch the application via ExpressITR.
  2. Log in to your account.
Step 2: Navigate to the Profile Section
  1. Click the Profile button at the top-right corner of the interface.
      

Step 3: Access User Management
  1. Select User Management from the Profile menu.
      

Step 4: Click on "+ Invite User"
  1. In the User Management section, click the '+ Invite User' button.
      

Step 5: Enter User Details
  1. Provide the sub-user details, including Name, Mobile Number, and Email Address.
      
  1. Send the invitation via email.
Step 6: Save User Details
  1. Save the information. A confirmation message will indicate successful saving of user details.
      

Step 7: Check the Invitation Email
  1. The sub-user will receive an email with a "Sign Up Now" button.
      

Step 8: Complete the Sign-Up Process
  1. The sub-user clicks "Sign Up Now" in the email and verifies their mobile number during the sign-up process.
      

Step 9: Sign In to the Application
  1. Once verified, the sub-user will automatically be logged into the application.
Step 10: Verify in User Management
  1. The Owner can verify the new user’s addition by checking the User Management section. Both the Owner and the sub-user will appear in the list.
      

Important Notes
  1. Unique Contact Information: Each mobile number and email address must be unique across all applications. If a mobile number or email is already registered, an error message will display: "Email ID/Mobile Number is already registered! Try again with another Email ID/number".
      
      

By following these steps, you can seamlessly add and manage sub-users in the ExpressITR application, allowing them to share access to the platform’s database.


Owner Authorization Steps

The Owner can assign New Company Creation Assignment access controls to Sub-Users. Two options are available:
  1. Respective User: Ensures that a new client created by a specific Sub-User is visible only to the Sub-User and the Owner.
  2. All Users: Ensures that a new client created by any Sub-User is visible to all users (Owner + Sub-Users).
Steps to Configure Access Controls
  1. Click on the Settings icon under the Action Tab.



  2. Choose either Respective User or All Users based on your requirements.
      

This setup ensures flexibility in data visibility based on organizational needs.


User Profile Updates

Updating via the Owner Account:
  1. To modify a user's profile, click the Edit button under the Owner account.



  2. Update details such as Name, Employee Number, Designation, and Department.
      

Alert
Note: Mobile numbers and email addresses cannot be updated via the Owner account. The user must log in to their account to make these changes.

Updating Mobile Number and Email Address via the User Account:
  1. Log in to the respective user account.
  2. Update the details via Profile Settings.

USER Account - Activation and Deactivation Process

Deactivating a User Account
  1. Navigate to the Status tab.
  2. Click the Active option for the desired user account.



  3. A confirmation message will appear, and the account’s status will update to Inactive.
      

Reactivating a User Account
  1. Navigate to the Status tab.
  2. Click the Inactive option for the desired user account.
  3. Enter the OTP sent to the registered mobile number.



  4. Once authenticated, the account will reactivate, and its status will display as Active.

Managing and Assigning Clients to Sub-Users

The Owner can control which clients are visible to Sub-Users and assign specific clients as needed.

Steps to Manage and Assign Clients
  1. Click the Manage button under the Action Tab.



  2. Use the following sections to assign/unassign clients:
    1. Assigned Clients: Displays clients already assigned to the Sub-User.
    2. Unassigned Clients: Displays clients not yet assigned.
    3. All Clients List: Displays all available clients.



  3. To Assigning or Unassigning:
    1. Navigate to the All Client List Tab.



      1. Checked Clients are visible to the Sub-User.
      2. Unchecked Clients remain inaccessible.
    2. Assign Clients → To assign access, place a checkmark next to the desired Clients.



  4. Click Submit to finalize changes.
      

Client User Mapping

The Client User Mapping feature enables efficient management of client assignments.

Steps to Use Client User Mapping
  1. Access User Management via the Profile menu.
  2. Click Client User Map in the User Management section.



  3. Use the displayed list to view and manage user assignments.



This feature simplifies user assignments and ensures proper access control.
