Enhanced Auto Scan & Migration Controls

To simplify the onboarding experience and make client migration more efficient, we have significantly enhanced the Auto Scan & Migration process. The new workflow provides greater flexibility, improved visibility, and a smoother migration experience while allowing users to continue working without interruption.

Key Enhancements
1. Intelligent Auto Scan Prompt for New Users
To streamline the initial setup process, users who create their first client manually are now automatically prompted to launch Auto Scan. This ensures that existing client data from supported applications can be discovered and migrated immediately, reducing manual effort and accelerating onboarding.

2. Unified Multi-Application Scanning
Auto Scan now performs a single, consolidated scan across all supported applications, including:
  1. GST
  2. TDS
  3. ITR
Instead of initiating separate scans for each application, users can now scan all available client data in one unified workflow, resulting in a faster and more convenient migration process.

3. Smart Client Review & Selective Migration
Before initiating the migration, Auto Scan presents a comprehensive list of all discovered clients, allowing users to review the scanned data before import.
The review screen displays key client information, including:
  1. Client Name
  2. PAN
  3. GSTIN
  4. TAN
Users can selectively choose the clients they wish to migrate, providing complete control over the migration process and preventing unnecessary or duplicate data imports.

4. Trial Edition Migration Support
To help new users evaluate the application's migration capabilities, the Trial Edition now supports importing up to 10 clients through the Auto Scan feature. This allows users to experience the complete migration workflow before upgrading to a licensed version.

5. Non-Blocking Background Processing
The Auto Scan process has been redesigned to operate in the background without interrupting the user's workflow.
A newly introduced non-blocking progress indicator provides real-time visibility into the scan status while allowing users to continue working elsewhere in the application. This enhancement improves productivity by eliminating the need to wait for the scan to complete before performing other tasks.


Steps to Add Clients/Deductors Using Auto Scan & Migration Controls
The Auto Scan & Migration Controls feature enables users to seamlessly migrate existing client and deductor data from supported applications into the current application. The system automatically scans your computer for compatible JSON, TDS and Text (TXT) files, allowing you to review and selectively import the required client records with minimal manual effort.
The migration process differs slightly for New Users and Existing Users, as described below.

For New Users
Step 1: Sign In to the Application
  1. Launch the application and log in using your registered credentials.
Step 2: Create Your First Client
  1. Create your first client in any of the supported applications, such as:
    1. Spectrum CLOUD-GST
    2. Spectrum CLOUD-ITR
    3. Spectrum CLOUD-TDS
  2. After creating and saving the first client in any of the supported applications, the application automatically displays the Migration Controls screen, allowing you to initiate the client migration process.
      

Step 3: Migrate Existing Clients
  1. On the Migration Controls screen, click Migrate All Clients.
  2. The application will automatically initiate the Universal Auto Scan process.
  3. During this process, the system scans your computer for all supported JSON, TDS and Text (TXT) files available across supported applications and prepares the discovered client and deductor records for migration.
  4. No manual file selection is required.
Step 4: Review and Import Clients
  1. After the scan is completed, the application displays the message: "Migration Complete! Your clients are ready to be added."
  2. Click Continue to review the scanned client records.
  3. The application displays important client information, including:
    1. Client Name
    2. PAN
    3. GSTIN
    4. TAN
  4. Select the clients or deductors you wish to import and click Import.
  5. The selected records will be automatically migrated and added to the application's Client List.

For Existing Users
Step 1: Open the Add Client Screen
  1. Log in to the application.
  2. In the Universal Search bar, type Add Client and open the Add Client screen.

      
      

Step 2: Start Universal Auto Scan
  1. Click the Auto Scan button.

      

  1. The application initiates the Universal Auto Scan, which automatically scans your computer for all supported JSON, TDS and Text (TXT) files generated by compatible GST, TDS, and ITR applications.
      

Step 3: Review the Scanned Records
  1. Once the scan is successfully completed, the following confirmation message will be displayed: "Migration Complete! Your clients are ready to be added."

     

  1. Click Continue to proceed to the client selection screen.
  2. The application displays all detected client and deductor records along with key identification details such as:
    1. Client Name
    2. PAN
    3. GSTIN
    4. TAN
  3. Review the available records and select the clients or deductors you wish to migrate.
      

Step 4: Import the Selected Clients
Click Import to begin the migration process.
The selected client and deductor records will be imported automatically and will immediately appear in the Client List, where they are ready for further processing.
